Position Focus:

The Yale School of Nursing seeks a Financial Assistant to join the Research Office team. Reporting to the Post Award Manager, this position will be the primary support for the Research Office team, which includes pre and post award support. The Financial Assistant will perform a variety of Research related financial functions for the Research Office. 

  • The Financial Assistant will ensure all Research expenditures are posted to the proper accounts.
  • The Financial Assistant will prepare, schedule, and analyze ad hoc reports.
  • The Financial Assistant will oversee and instruct research support staff.
  • The Financial Assistant will serve as the primary source of information for the Research Office for Financial policies and procedures and financial activity.
  • They will be responsible for managing the Yale School of Nursing Office of Research email inbox.
  • Financial Assistant may act as a lead person in absence of Post Award Manager.

Essential Duties

1. Drafts preliminary financial sections of proposals.

2. Reviews all proposals for accuracy, completeness, and compliance to grantor and University requirements and regulations.

3. Monitors, controls, and maintains financial activity of accounts. Ensures expenditures are posted to proper accounts. Identifies, researches, and corrects questionable expenditures.

4. Serves as the principal source of information on financial policies and procedures and financial activity.

5. Reconciles and analyzes financial statements. Prepares standardized and specialized financial reports and analyses.

6. Oversees and instructs support staff.

7. Oversees the maintenance of financial records and files.

8. Assists with the development and implementation of systems and procedures.

9. May calculate weekly payroll for department staff.

10. Performs clerical functions incidental to accounting activities.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level, and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.

Required Skill/Ability 1:

Demonstrated ability to run and interpret financial reports from large financial applications, such as Workday, Power Bi, or the Yale Budget Tool (YBT). Advanced proficiency in the Microsoft Word and advance Excel, including demonstrated ability to manipulate data and develop financial reports within spreadsheets.

Required Skill/Ability 2:

Demonstrated working knowledge of financial administration. Demonstrated ability in coordinating and overseeing budgets. Formal education or training in bookkeeping or accounting with strong mathematical proficiency.

Required Skill/Ability 3:

Demonstrated organizational and prioritization skills. Demonstrated ability to effectively address multiple projects, often with conflicting deadlines, with high degree of accuracy. Ability to work independently. Excellent judgement, initiative, and problem-solving skills.

Required Skill/Ability 4:

Exceptional Communication and interpersonal skills. Demonstrated ability to interact with a diverse group of people. Ability to schedule and plan meetings. Ability to provide coverage and assistance to other areas based on operational needs.

Preferred Education, Experience and Skills:

Bachelor’s degree in accounting or related field at 4 years work experience. Experience in research administration, sponsored research principles and guidelines preferred. Strong knowledge of Yale financial policies and procedures, travel guidelines, reimbursements, honoraria, consultant services agreements, subcontracts, for sponsored and non-sponsored funds.
