Faculty Information

Student-related travel has a very different risk profile than business travel (travel not accompanying students abroad). The faculty leader is expected to review the expectations and travel checklist for group leaders.  
 

Guidelines and Expectations 

Faculty leaders are expected to submit the global field experience plan. Please get in touch with sohani.sirdeshmukh@yale.edu for a template. The Office of Global Affairs and Planetary Health will work with faculty to complete the field experience template. After completion, the faculty must review the document for all specific details during the planning process.
 

Planning 

  1. Review the YSN faculty leader checklist.  
  2. Identify any special requirements for participation on the trip – special skills, fitness, certification – as well as any hazards or dangers on the trip or at the site that might affect the health and safety of the student. 
  3. Obtain departmental approval where appropriate. 
  4. Ask students to advise you of any particular disabilities, problems, or needs that may need to be accommodated. 
  5. Consider the need for special clothing or equipment that may be needed because of weather or other conditions. 
  6. In collaboration with OGAPH, plan for emergencies such as theft, illness, vehicle emergency, weather delays, student misconduct, or threats to the safety of others. 
  7. Option to register your group program on Passport Health.  
  8. Register your group for travel on Yale travel.  
  9. Review travel resources provided in “Related Links” on the side panel.  
 

Communication & Site Orientation 

Coordinate with OGAPH to inform students about schedules, departure locations, routes, rest and meal stops, lodging, emergency procedures, a protocol for problems, and rules of conduct. 
 

Warn, Protect & Supervise 

Familiarize students with the site and their surroundings. University employees must exercise reasonable care to protect and supervise students while participating in a field trip conducted by the University. 
 

Compliance with University Policies 

Students must comply with Yale School of Nursing policies on field trips just as they would on campus. Faculty leaders are expected to familiarize themselves with School of Nursing policies, including those concerning personal conduct and academic integrity.  
 
Yale leadership appreciates the efforts of faculty, students, and other members of the Yale community who travel on University business and wants to ensure that travelers do not gain or lose funds on business trips. Yale’s travel policy is designed to provide guidance to ensure the best use of University resources.  
 

Personal Liability & Responsibility 

Faculty and staff have no special duty to protect adult students from their own voluntary actions while on their personal time. However, prudence may dictate setting limits on students’ off-time activities while on a field trip.  
 
Similarly, faculty and staff are personally liable for their own personal activities and any intentionally harmful, willful acts or omissions while conducting the field trip. 
 

Reporting Accidents / Incidents 

Faculty leaders must report any accident involving injuries and all other accidents within 48 hours (two working days). Report incidents to the Associate Dean of the Office of Global Affairs and Planetary Health (Dr. LaRon Nelson). 
 
If there is an incident, which you believe could lead to a liability claim against the University, please provide a written description of the incident, the names and phone numbers of any witnesses, and forward the information to:
